Clubhouse Rental

If you’re planning a special event and considering renting out the clubhouse, it's important to understand the guidelines and requirements to ensure a smooth and successful booking. Here’s a comprehensive guide to help you navigate the process, from rental fees to required insurance.
Rental Fee and Deposit
To reserve the clubhouse, you’ll need to pay a rental fee of $250. In addition to this, a refundable deposit of $300 is required. The deposit is meant to cover any potential damage or additional cleaning that may be necessary after your event. Provided the clubhouse is returned in its original condition, the deposit will be fully refunded.

Booking Restrictions
Keep in mind that the clubhouse is not available for rent during:
Weekdays: Rentals are restricted to weekends only.
Holidays: The clubhouse is closed for all major holidays.
Event Weekends: Special events or high-demand weekends may also be off-limits.
These restrictions are in place to accommodate a variety of needs and ensure availability for all interested parties.
Please note that renting the clubhouse is only available to homeowners.

Certificate of Insurance (COI)
For your event, you will need to provide a Certificate of Insurance (COI). This document is required to ensure that your event is covered for up to $1 million in value. The COI protects against potential liabilities and damages, offering peace of mind for both you and the facility. Make arrangements with an insurance provider to obtain this certificate well in advance of your event date. Most homeowners extend their policy through their current broker. Check with yours to see if this is an option.

Booking Process
Check Availability: Before making any payments, confirm that the clubhouse is available for your desired date with the PRCA office. Remember to factor in the booking restrictions.
Submit Reservation Request: Complete any necessary forms or provide required details to officially request the reservation.
Pay Fees: Submit the $250 rental fee along with the $300 refundable deposit. Payment methods may vary, so check with the facility for options.
Obtain COI: Contact your insurance provider to secure the required Certificate of Insurance. Ensure it meets the specified coverage amount and submit it as part of your booking process.
Confirm Details: Once all paperwork and payments are processed, confirm your reservation details with the PRCA office. Ensure you understand any additional rules or requirements for using the clubhouse.

Preparing for Your Event
Setup and Cleanup: Plan your setup and cleanup times carefully and adhere to any guidelines provided by the facility.
Event Conduct: Ensure all guests follow the clubhouse’s rules and regulations to avoid any potential issues or forfeiture of your deposit.

By following these guidelines and understanding the requirements, you can successfully book the clubhouse and host a memorable event. With the right preparation, your event can be both enjoyable and hassle-free!

No Alcohol or Illegal Substances (including marijuana) is allowed on the PRCA Campus due to HOA insurance limitations.
